What is Cloud Migration?

Most businesses reach a point where the way they store files, run software and manage their systems starts holding them back. Cloud migration is how you fix that.
In plain terms, cloud migration is the process of moving your business from physical servers and local storage to the internet. Instead of your files sitting on a hard drive in your office, they live on secure servers you access online — from any device, anywhere.
What actually moves?
When a business migrates to the cloud, it typically moves three things:
Files and data. Documents, spreadsheets, client records and shared folders move from a local server or hard drive to cloud storage — like Microsoft OneDrive or SharePoint. Your team accesses everything through a browser or an app.
Email. If your business is still running email on a local server, it moves to a cloud-based platform like Microsoft 365. Your inbox, calendar and contacts become accessible from any device, without needing to be in the office.
Business software. Accounting tools, practice management systems and other business applications either move to cloud-hosted versions or get replaced with cloud-based equivalents that work from a browser.
Why do businesses move to the cloud?
The most common reasons South African businesses migrate are practical ones.
Physical servers break down. They need to be replaced every few years, maintained regularly and backed up manually. That costs money and time. The cloud removes that overhead — you pay a monthly fee and someone else manages the infrastructure.
Load shedding makes local servers a liability. When the power goes out, a server in your office goes down with it. Cloud storage stays accessible because it lives off-site, on infrastructure built for resilience.
Remote work requires it. If your staff work from home, travel to client sites or split time between locations, they need to access files and systems from anywhere. The cloud makes that possible without complicated setups.
Does everything have to move at once?
No. Most businesses migrate in phases — starting with the easiest and most impactful systems first, typically email and file storage, then moving to applications over time.
Some systems stay on-premises permanently because they have to — regulatory requirements or recent hardware investment can make that the right call. A good migration plan accounts for this.
What about Microsoft 365?
If your business already uses Microsoft 365 for email and documents, you have already started your cloud migration. Microsoft 365 includes cloud storage, cloud email, Teams for communication and the full Office suite — all accessible from any device.
The challenge most businesses face is that Microsoft 365 is not secure by default. Multi-Factor Authentication is off. Legacy settings that attackers exploit are still active. Getting the most out of it requires proper configuration from day one.
What can go wrong?
Cloud migration done correctly is straightforward. Done without a plan it creates problems — data moved to the wrong place, security gaps left open, staff unable to access what they need during the transition.
The businesses that have the smoothest migrations are the ones that work with a partner who has done it before, has a clear plan and manages the process end to end.
